Day of Wedding Coordinator

This is perfect for the couple that wants to do most of the planning themselves, but would like someone to execute all of their hard work the day of, allowing them to focus on their special day.


Here’s an idea of what F L O U R i s h will assist you with:

Two weeks prior to event:

M E E T with couple to present timeline. Go over any arrangements the couple have previously made with vendors, and update timeline accordingly.

One week prior to event:

C O N F I R M final details with vendors prior to wedding day. Ensure that all vendors have our contact information. Send vendors a copy of the final timeline and confirm they have directions to the ceremony and reception locations.

Day before the event:

C H O R E O G R A P H  the wedding ceremony, processional and recessional, working with the wedding officiator. Answering any questions the wedding party may have, and ensuring everyone knows where they need to be.

Day of event:

C O O R D I N A T E bride and bridal party, directing hair and make-up artists to the dressing area and keeping everyone on schedule.

Confirm “must shoot” list with photographer

Ensure transportation arrives on time, and instruct wedding party when to depart for ceremony, if applicable

C E R E M O N Y  Set up programs and any other ceremony items  i.e guest book, unity candles, etc

Ensure personal flowers have arrived at ceremony location and are distributed to appropriate people

Alert ushers/groomsmen as to when to begin escorting guests to their seats, and answer any questions they might have

Ensure ceremony musicians have arrived and direct them to where they are to set up

Confirm ceremony music with musicians, and set cue with officiant, and wedding party

Keep up continuous communication with couple, to let them know how much time remains before ceremony begins.

Act as the on call contact for any emergencies that may arise

Line up bridal party for their entrances down the aisle

Gather family and friends for after ceremony photos

R E C E  P T I O N Greet vendors and instruct them as to where to set up

Arrange escort cards

Ensure reception flowers and decor are set up according to plan. Tent and lighting set up supervised and adjusted if necessary

Meet with catering staff to confirm food timeline

Set up guest book and pen, champagne flutes and cake cutting utensils

Set up table numbers and menu cards

Set up amenities baskets, candles, etc in bathroom

Overlook set up of dining tables

Ensure proper flow of cocktail hour food, encourage guests to be seated when appropriate

Cue band/DJ when everyone is seated to introduce couple

Cue band/photographer/videographer when important events are taking place

Cue best man/MOH/father of the bride when they are about to be announced for toasts

Distribute final payments/gratuities to vendors at the end of the evening

Remain easily accessible through the entire event in case there are any details couple would like attended to

Set up favor table towards the end of event

Pack up gifts/cards, misc ceremony and reception items and place them in agreed upon location
